How to track state procurement portals without missing bids
SAM.gov covers federal buying. Everything below that, state, county, city, school, hospital, lives on its own portal with its own search. Here is a sweep routine that holds.
There is no national feed for state and local buying. Each portal has its own registration, its own category codes, and its own idea of what a search box should do. The work that wins these bids is not glamorous: the same portals, in the same order, on the same day, every week.
Map the portals that matter
- Your home state eProcurement system. One registration, one saved search per category you sell. This is the highest value portal you have.
- Neighboring states you can actually serve. Geography is a filter. Do not watch portals for work you cannot staff.
- Cities, counties, school districts, transit. These publish on their own sites, often as PDFs with no feed and no search worth using.
- Hospitals and utilities. Public authorities and co-ops buy constantly and publish almost nowhere central.
The weekly sweep
- Fix the day and the order. Tuesday morning, portal one through portal six, always the same sequence. A checklist, not a memory.
- Search categories, not keywords. Portal search boxes are literal. Learn each portal's category tree once and reuse it.
- Open every result that could fit. Titles lie. The scope section is the truth, and it takes ninety seconds to check.
- Log bid or no-bid with a reason. The reason column teaches you which portals deserve the time and which never produce.
Where it breaks
Portal redesigns that move the search page, registrations that expire silently, PDFs replaced in place with the same filename, and addenda posted on the agency page but never mirrored to the portal. The sweep also breaks when it depends on one person, and that person gets busy. Two missed weeks is a missed bid; you will not know which one.
What good monitoring looks like
- Watch the search results pages, not just your inbox. A new row on a results page is a new opportunity, even when no email went out.
- Track the bid documents per notice. Addenda change scope and deadlines. See our addenda guide for what to look for.
- Health checks on every source. If a portal blocks the fetch or moves the page, someone must notice that day, not next quarter.
